Whilst Countdown Hero will keep a record of all contacts and actions for your particular timer, sometimes it can be useful to keep a record of the expiry date/time inside your email marketing platform.


Using the ‘Merging Date Fields’ settings, you’ll be able to set up Countdown Hero to save the expiry date/time inside a Custom Field in your email platform as soon as it gets triggered for your subscriber.


This step is completely optional and is not required in order for Countdown Hero to function.


(NOTE: This feature is only available to accounts using one of our direct email platform integrations. Our ‘Other Platform’ integration will not be able to use this feature because we aren’t connected to your email platform)


To do this, just navigate to the Merging Date Fields section and you’ll find 2 main options;


  • Field For Date & Time
  • Field & Format For Date Text



If you’d just like to store the expiry date and time in your email platform in number form, you can use the < Field For Date & Time > option.


If you’d like to store the expiry date/time in its written format, you can use the < Field & Format For Date Text > option. Doing this will mean that Countdown Hero will merge the date in a written format of your choice (just select an option from the associated dropdown menu) which you can then use to merge into the body text of your emails, if you wish. (We almost never use this feature though)


To set this up, you’ll need to create a new Custom Field in your email marketing platform for each field you’d like to merge the expiry date/time into (I’d recommend naming these something like; [CAMPAIGN NAME] Expiry Date/Time)


Once you’ve created this field/s, return to Countdown Hero and navigate to the right-hand side of the Basic Settings tab and click the ‘Update Tags, Forms & Fields’ button. 



This will re-sync Countdown Hero with your email platform so that the new fields you’ve created will be visible from the dropdown menu. 


(NOTE: You’ll also want to do this after you create anything new for use in a Countdown Hero so that we can pull through the most up-to-date information)


Next, from the dropdown menu in the ‘Choose Optional Field’ section, select the new custom field that you’ve created.


If you’re using the < Field & Format For Date Text > option, you’ll also need to select the format that you’d like Countdown Hero to use when merging your evergreen expiry date/time into that custom field for your subscribers.


Finally, if you’d like to add store this in multiple formats, you’ll be able to add up to 4x custom fields per countdown campaign. Click the ‘More Date Fields’ button and a further 2x options will appear.
